What we collect, how we use it, and how to control it.

Who we are

CodeSplit AI Inc. is a modernization consultancy incorporated in Ontario, Canada. We help businesses modernize technical systems and operational workflows. References to “CodeSplit AI,” “we,” “us,” or “our” in this policy mean CodeSplit AI Inc.

This policy explains how we handle personal information you share with us through our website, sales conversations, and engagement work. For information specific to how we handle client code, operational data, and integration credentials during a paid engagement, see our Security page.

Information we collect

We collect personal information only when you give it to us directly or interact with our website.

  • Contact form submissions. When you submit the contact form, we collect the inquiry type you selected, your first and last name, email address, company, job title, country, optional phone number, and the message you write.
  • Direct correspondence. If you email us or reach out through LinkedIn, we receive whatever information you choose to share, including your name, email address, and the contents of your message.
  • Engagement information. If we enter a paid engagement, we receive the contact information of the people you designate as your project contacts, along with whatever business information you share with us under the engagement.
  • Basic site analytics. Our hosting provider, Cloudflare, collects aggregate request information (page views, user agent, approximate region) for delivery and abuse-prevention purposes. We do not run third-party advertising or behavioural-tracking pixels on this site.

We do not collect special categories of personal information (health information, racial or ethnic origin, religious beliefs, etc.) and we do not knowingly collect information from anyone under 16.

How we use your information

We use the information you share with us to respond to your inquiry, deliver the services you engage us for, and operate our business. Specifically:

  • Responding to inquiries. When you submit the contact form, our team uses your name, email, company, and message to reply to you and continue the conversation.
  • Delivering engagements. If we work with you, we use your contact and business information to scope, build, and deliver the work, send updates, and bill you.
  • Operational records. We keep records of conversations, scopes, and deliverables to manage the relationship and meet professional, contractual, and legal obligations.
  • Improving our work. We use what we learn from conversations and engagements to improve our services. We do not sell your information to anyone, and we do not share it with anyone other than the subprocessors listed below.

Who we share information with

We share information with a small set of subprocessors that operate our infrastructure. We do not sell your personal information and we do not share it for advertising purposes.

  • Cloudflare hosts this website and delivers the contact form to your browser.
  • Discord receives contact form submissions through an internal webhook so our team is notified and can triage the inquiry.
  • Google Workspace hosts our company email, shared documents, and calendar.
  • GitHub hosts our source code, including code delivered under engagements.
  • Anthropic, OpenAI, and other AI providers process content we explicitly submit to them as part of our engagement work. We do not submit personal information from contact form inquiries to these providers.

We may also share information when required by law, in response to a valid legal process, or to protect our rights, property, and the safety of others.

How long we keep it

We keep personal information only as long as we need it for the purposes described above, or as required by law.

  • Contact form submissions: retained for up to 24 months after the last interaction unless you ask us to delete them sooner.
  • Engagement records: retained for up to 7 years after the engagement ends, to meet contractual, accounting, and legal obligations.
  • Email and correspondence: retained as part of our business records under the same policy as engagement records.

Where your information is stored

CodeSplit AI is based in Ontario, Canada. The subprocessors listed above operate infrastructure in Canada, the United States, and other regions. By contacting us or engaging us, you acknowledge that your information may be transferred to and processed in jurisdictions outside your own. Each subprocessor is contractually bound to security and data-handling standards appropriate to the work they perform.

Your rights

You have rights over the personal information we hold about you. These rights vary by jurisdiction; the rights listed below are available to everyone we hear from, regardless of where you live.

  • Access. You can ask what personal information we hold about you and how we use it.
  • Correction. You can ask us to correct or update information that is inaccurate or incomplete.
  • Deletion. You can ask us to delete the information we hold about you, subject to our legal and contractual record-keeping obligations.
  • Withdrawal of consent. You can ask us to stop contacting you at any time. We will stop, except where contact is required to deliver services under an active engagement.
  • Complaint. If you believe we have not handled your personal information properly, you may file a complaint with the Office of the Privacy Commissioner of Canada or, if you are in the EU/UK, your local supervisory authority.

Cookies and tracking

This site does not use cookies for advertising, behavioural tracking, or third-party analytics. Cloudflare may set short-lived technical cookies for delivery, security, and abuse-prevention purposes. We do not embed Google Analytics, Facebook Pixel, LinkedIn Insight Tag, or similar tracking technologies.

Security

We protect personal information using administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include access controls on internal systems, encryption in transit, and contractual security obligations on our subprocessors. No system is perfectly secure; if we ever discover a breach that affects you, we will notify you in accordance with applicable law.

Changes to this policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of the page. Material changes will be highlighted on this page for at least 30 days after they take effect. We encourage you to review this page periodically.
